Eltoma Corporate Services provides a range of corporate, financial and administration services, including bookkeeping and tax services for a range of international businesses.
With our Head Office in Limassol, Cyprus, and offices in Singapore and St Petersburg Russia, business has grown substantially since it was established in 2004, handling in excess of 1,000 clients in various jurisdictions worldwide.
Eltoma use Sage Practice Solution (SPS) in every department to help manage far more than just clients’ accounts and tax affairs. Company Business Unit Manager, Pamela Miller explains: “Every member of staff uses SPS. We utilise it for client database, workflow and timesheets.”
“There are some clients we charge on an hourly rate, SPS support this need. We also use timesheets for analysing resources, short-term planning, future planning, succession planning, reviewing what team members are spending time on and how to reduce non-chargeable/nonproductive time.”
“We also use the note functionality within the main client’s area, so where there is something important that everyone should know very quickly, then that will be noted, and everyone can see that irrespective of what time of day it is, wherever they are located,” Pamela explains.
Adapting to business needs
Using Sage Practice Solution to manage timesheets, workflow and as a CRM system, may not be standard thinking, so Eltoma worked closely with Sage Support to adapt the software to their business needs.
In the early stages Eltoma were not always sure the software would do what they wanted it to, however are now convinced of its usefulness. We found that it is a really a fantastic product that has helped us drive our business. It has assisted us greatly to operated internationally and work in different markets. Sage worked closely with Eltoma to understand their clients’ needs to recommend the best software options.
More efficient working
Sage Practice Solution helped Eltoma to identify where they could work more efficiently, Pamela says: “Fairly early on, thanks to using SPS, we identified that too much time was being spent on and allocated to email, for example. It was important to us to address that – to look at ways to reduce the amount of time we spent on this administration task”.
Sage Practice Solution also provides a central point of contact for Eltoma’s client database, acting like a Customer Relationship Management system. That’s proved invaluable in sharing information between their different offices worldwide.
“Because Sage were helpful and accommodating, we were able to use their support to tailor the system to the needs we had. What we’ve learned, we can now use to our clients’ benefit,” explains IT & Business Development Manager Nik Henderson.
Eltoma are now looking to put their experience of working with Sage Practice Solution to use, adapting it to suit their clients’ needs.

“Right now, I can see at the touch of a button that we have just under 1,000 active jobs on the books. How could we possibly control that on a manual or Excel system? You could not. You would fail. You would not meet the clients’ expectations and delivery times,” she says.
Reducing the time spent on non-productive tasks and managing workflow through Sage Practice Suite all helped Eltoma maintain their high levels of client service and support. Working with an international client has been a fantastic opportunity for Sage to promote Sage Practice Solution to a global audience.
